Executive AssistantLocation: Bangalore
Description: Role PurposePerform highly responsible and professional administrative services to manager by providing a wide range of administrative support that enhances the efficiency of the business. Main Responsibilities:Major Responsibilities / Accountabilities
- Performs administrative tasks for Manager and the Team.
- Responsibilities include scheduling meetings, making travel and meeting arrangements, preparing reports (Headcount Report, Attrition Report & adhoc reports), expenses and financial data, budget tracking and recording, coordinating trainings for the team, coordinating visits of senior management, vendor management and customer relations. In addition, be involved in conferences/event organisation, and some ad hoc project work.
- Accountable for determining the approach used to address issues.
- Manage the administrative duties independently with limited supervision from manager and ensuring timely communication to the stakeholders.
- Work collaboratively with multiple stakeholders, come up with innovative ideas on enhancing workplace improvements, process improvements, employee engagement events.
- End to End coordination with facilities and support teams.
- Single point of contact for maintaining centralised asset tracker for the team.
- Single point of contact for the Operations team in terms of facilitating to ensure respective BCP plans are updated in eBRP tool.
- Will respond to non standard requests and investigate where needed, effectively communicating and checking understanding providinga high level of service.
- Will interact with Senior Management in and out of work unit on significant matters.Also calls for flexibility, excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors.Scope and Impact
- Scope of role will be global in nature as the jobholder will interface with global executives.
- Area(s) of impact include a cross-section of staff and functional areas that interface with jobholder's manager.
- Work will involve identifying and solving a range of problems.
- Understands, interprets and sets personal priorities for reaching goals.
- Limited decision making authority, working within guidelines and direction but able to make decisions on planning own work and how to do it.
- Will need to respond to non-standard requests and investigate.
- Decisions made may impact own priorities and will need to allocate own time to meet deadlines.Relationships: Internal / ExternalWhat are the important relationships that strongly influence success? How critical is the customer relationship?
- Primary contacts are with executive managers throughout the organization and their assistants.
- Will have contact with key business stakeholders for the particular business group their supervisor manages.
- Contact with office and building personnel (security, catering, facilities, maintenance, etc.). Vendors, agencies, and consultants specificto particular business area.
- May have contact with the press, clients and suppliers.
- Will have good understanding of the roles related to the functional groups in own area.
Qualifications
Required Skills: · 4+ years of experience in administrative role with global exposure· Advanced administrative experience, or an equivalent combination of training and experience are necessary.· Proficient typing skills and knowledge of Microsoft computer applications necessary.· Fully Competent: Compliance, Personal Organization, Data Input, Problem Solving, Project Management· A1 Expert: computer Literacy, Telephone Proficiency, General Office Procedures, Personal Development, Business Writing At Thomson Reuters, we believe what we do matters.
